Operating since 1977, Bell Ambulance in Milwaukee, Wisconsin, has become a significant provider of emergency medical services within the state, handling around 75,000 calls annually. The company manages a comprehensive fleet distributed across nine remote stations in the Milwaukee region, offering services ranging from basic life support to advanced critical care.

Due to the large coverage area, ambulances frequently return to different stations than their point of origin, which complicates key management. The security of keys had been a concern, compounded by the high-crime locations of some stations and the modern ignition systems' expensive key fobs costing around $300 each. Losing a key not only involves replacing it but also reprogramming the vehicle’s ignition system, which quickly escalates costs.

Innovative key management solutions

Bell Ambulance discovered the KeyWatcher Touch system, which was still in beta testing

Despite external security measures like video surveillance and access controls, Bell Ambulance's key storage remained vulnerable. The need for a more secure method of key distribution led them to explore solutions, ultimately partnering with Hoffman Security Solutions and Morse Watchmans to address this issue effectively.

Through a collaboration with Hoffman Security Solutions, Bell Ambulance discovered the KeyWatcher Touch system, which was still in beta testing. The KeyWatcher Touch offered the flexibility and scalability required to manage their geographically dispersed fleet, featuring a KeyAnywhere function to accommodate frequent rotational shifts of keys between locations.

Successful implementation and system expansion

Senior Systems Administrator Jason Becker noted, “We were willing to be the first to implement KeyWatcher Touch when it came out and it’s worked out very well.” Over five years, Bell Ambulance expanded the system easily, recently adding three new stations. This networked solution improves efficiency by providing real-time data integration with current systems and processing transactions significantly faster.

Recently, upgrades included two new cabinets with second-generation CPUs, addressing increased demands from the maintenance department. “Now the system is lightning fast – about four or five times faster than before,” remarked Nick Hoffman, co-owner of Hoffman Security Solutions.

Enhanced driver and key management

KeyWatcher Touch integrates with Bell Ambulance’s safety measures, requiring drivers to log in road safety fobs and keys, effectively reducing the loss of keys. “KeyWatcher has had a huge impact on reducing and even eliminating the problems and high costs we were having with lost keys,” commented Becker.

By synchronising their time and attendance system with fleet management, Bell Ambulance has set a new standard in key management and vehicle safety. Nick Hoffman praised, “Bell Ambulance is at the cutting edge of fleet management. They’ve created a cool integration that ties their time and attendance system and road safety fobs into the key management system.”
